How to schedule a vacation for 2020

The vacation schedule for 2020 is a normative document for internal use, establishing the sequence and duration of the annual paid vacation. Having a schedule solves several problems at the same time. With it, you can plan the work of the enterprise during the absence of one or more specialists, timely accrue vacation pay and pay it to employees; minimize the probability of accumulation of unused vacation.

The form

The employing company independently determines the form of scheduling the holidays in 2020. It is more convenient to draw up a document as a table in which information on employees of all divisions and branches of the company is collected:

  • Name and position of full-time specialist;
  • Personnel Number;
  • the planned start and end dates of the vacation;
  • number of days;
  • graphs for making changes (in case the start of rest is shifted).

The uniform T-7 form, which existed before 2013, is no longer mandatory, but many enterprises use this form as the most convenient.

The document also indicates its number, date and year of compilation, the period for which it is compiled. He is certified by the signatures of the head of the personnel department and the head of the company.

Deadlines

In Art. 123 of the Labor Code of the Russian Federation it is said that the schedule for the coming year is drawn up no later than 14 days before the beginning of next year. This means that the deadline for 2020 is December 17, 2019.

The director of the company or his deputy (within his competence) may shift him to an earlier date. The decision is drawn up by the order of the enterprise.

Scheduling vacation in the enterprise

Preliminary stage

Before scheduling, the responsible specialist should learn about the wishes of each employee. It is not necessary to find out the exact dates - to begin with, it is enough to clarify the month and fix it in draft form.

The employer takes into account the wishes of subordinates and implements them as far as possible. There are several categories that are given another vacation at the time they want, according to Russian law.

These categories include:

  • Men whose wives are on maternity leave.
  • Minor employees.
  • The liquidators of the accident at the Chernobyl nuclear power plant.
  • Specialists working part-time.
  • Honorary Donors of the Russian Federation.

It is important! Workers who fall into the above categories write an application in any form, which indicate the desired dates of the next vacation. The application is handed over to the personnel department, and in case of changes, it is drawn up again.

Duration

The schedule for 2020 necessarily indicates the duration in calendar days. Article 115 of the Labor Code of the Russian Federation says that the main vacation lasts 28 days, but the categories for which it is longer are listed in the same Labor Code:

  • educators;
  • disabled people;
  • civil servants;
  • workers of hazardous and hazardous industries;
  • employees with irregular working hours;
  • working in the far north.

Adolescents employed in production also belong to preferential groups. The duration of the annual vacation period for them is 31 days.

Dates

An employee can indicate a month or a specific date, if desired. In the first case, he will have to write an additional statement in which to name specific dates.In the second case, you don’t have to do this, because they were originally indicated in the document.

Document signing

If only one month is indicated in the schedule, an order for the establishment is required, signed by the first head, which determines the time period for submitting an application indicating the specific day the vacation begins. Ideally, the employee should file it no later than two weeks before the planned date.

This is necessary to comply with the requirements established by law:

  • According to Art. 123 of the Labor Code of the Russian Federation, the head is obliged to notify the subordinate in advance about the upcoming vacation.
  • Article 136 of the same Code states that the company’s accounting department must pay the leave in a timely manner. The deadline is 3 days before its start.

Company specifics

When drawing up the schedule, the production needs and financial capabilities of the employer must be taken into account. It is impossible to simultaneously provide vacation to all specialists of the sales department, accounting, transport service - the temporary absence of specialized specialists will negatively affect production, sales, and paralyze the work of the enterprise.

In some institutions, annual leave is divided into 2 parts by agreement of the parties. The administration is not entitled to make such a decision unilaterally.

Meeting at work

Attention! The vacation period can be divided into 2.3 or more parts - there are no legislative restrictions on this. When crushing, it is important that one part is 14 days. More is possible, less is not.

When using such a scheme, each vacation period (from the start day to the end day) is entered into the schedule separately.

Sequencing

  1. The order for the company indicating the deadlines for the preparation of the document, responsible officials.
  2. Collection of preliminary information about the desired time of rest from employees.
  3. Drawing up a schedule in a unified form, in any form or according to the model approved by the order for the enterprise.
  4. Approval of the schedule by the management (based on the order).
  5. Familiarization with the order and vacation schedule of each employee.

It is important! The schedule is obligatory for execution by both parties, so employees confirm their agreement with a personal signature. The document should have a column for signature.

Alteration

Changes to the document are made when the dates of rest are postponed. The reason for this is:

  • statement of the employee indicating the reason for the transfer;
  • employee illness;
  • recall from rest to its end in connection with the production need.

Office meeting

The shift of dates and the introduction of changes to the agreed schedule is drawn up on the basis of an order for the enterprise. You cannot cancel a document after it has been approved. Information concerning new employees is easier to formalize as an addition or an appendix to it.

Shelf life

The shelf life of standard management documents, in particular, the vacation schedule, is 1 year. It is counted from January 1, 2020 and is stored until January 1, 2021.
